This Privacy Policy explains how TeamForm Pty Ltd ("AdoptAI", "we", "us") collects, uses, stores and discloses personal information when you use adoptai.co, app.adoptai.co and related services (the "Service"). We comply with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth).
1. Information we collect
We collect information you give us directly and information generated by your use of the Service:
- Account information: name, work email, organisation, role.
- Onboarding inputs: the information you share about your business — goals, processes, tools, team — so we can recommend AI use cases.
- Usage data: pages visited, features used, prompts copied, program progress, device and browser metadata.
- Communications: messages you send us, including via partnerships@adoptai.co.
- Cookies and similar technologies: for authentication, preferences and product analytics. You can disable cookies in your browser, but parts of the Service may stop working.
2. How we use information
- To provide, operate and improve the Service.
- To generate your AI Decision Stack and personalise the program to your business.
- To produce aggregated, de-identified adoption metrics for industry and network group partners (we never share information that identifies an individual member without consent).
- To communicate with you about your account, product updates and relevant features.
- To meet legal, regulatory and security obligations.
3. AI processing and third parties
The Service uses third-party AI providers (including OpenAI, Anthropic and Google) to generate recommendations, summaries and program content. When you use the Service, the inputs you provide may be sent to these providers under their enterprise data terms. Where available, we use settings that opt your data out of being used to train their general-purpose models.
We may also use processors for hosting (Vercel), databases, email delivery, error monitoring and analytics. These providers only process information on our instructions and under appropriate data protection terms.
4. Where your data is stored
We host the Service in Australia (Sydney region) where possible. Some processors are located overseas, including in the United States and the European Union. We take reasonable steps to ensure overseas recipients handle your data consistently with the APPs.
5. Sharing inside an organisation or group
If you join via an organisation, employer, coaching network or industry association, certain information about your participation and progress may be visible to administrators of that organisation or group. Aggregated, de-identified metrics may also be shared with the group sponsor (for example, an industry association seeing how its members are progressing). Individual prompts and free-text inputs are not shared with sponsors unless you explicitly opt in.
6. Retention
We keep personal information for as long as your account is active and for a reasonable period afterwards to meet legal, accounting and operational requirements. You can request earlier deletion at any time (see section 8).
7. Security
We use industry-standard safeguards: encryption in transit (TLS), encryption at rest for sensitive stores, least-privilege access controls, audit logging and regular reviews. No system is perfectly secure; if a notifiable data breach occurs we will notify affected users and the Office of the Australian Information Commissioner as required.
8. Your rights
Under the APPs, you have the right to:
- Access the personal information we hold about you.
- Ask us to correct information that is inaccurate, incomplete or out of date.
- Request that we delete your account and associated personal information.
- Opt out of marketing communications at any time.
- Make a privacy complaint — first to us, and then, if unresolved, to the Office of the Australian Information Commissioner (oaic.gov.au).

9. Children
AdoptAI is built for businesses and is not intended for children under 16. We do not knowingly collect information from children.
10. Changes to this policy
We may update this policy as the Service evolves. Material changes will be notified by email or via the Service. The "Last updated" date above will always reflect the current version.
